This manual outlines how personal information is collected, stored, used, and protected.<\/p>\n<ol start=\"2\">\n<li><strong> Purpose<\/strong><\/li>\n<\/ol>\n<p>The purpose of this manual is to inform residents about the procedures and measures MCSCF has in place to ensure the privacy and security of their personal information.<\/p>\n<ol start=\"3\">\n<li><strong> Scope<\/strong><\/li>\n<\/ol>\n<p>This manual applies to all personal information collected and processed by MCSCF. Personal information refers to any information relating to an identifiable living person.<\/p>\n<ol start=\"4\">\n<li><strong> Information Collection<\/strong><\/li>\n<\/ol>\n<p>MCSCF collects personal information through the group\u2019s registration form, which includes but is not limited to:<\/p>\n<ul>\n<li>Full name<\/li>\n<li>Contact details (phone number, email address)<\/li>\n<li>Residential address<\/li>\n<li>Emergency contact information<\/li>\n<li>Number of residents living on the property and their names<\/li>\n<\/ul>\n<ol start=\"5\">\n<li><strong> Information Storage<\/strong><\/li>\n<\/ol>\n<p>The collected personal information will be stored securely in the following locations:<\/p>\n<ol>\n<li><strong>MCSCF Dropbox File<\/strong>: The information will be stored in a secured Dropbox file accessible only by members of the MCSCF committee.<\/li>\n<li><strong>Committee Members\u2019 Phones<\/strong>: Contact information will also be stored on the phones of committee members in accordance with Community Police Forum (CPF) guidelines to facilitate easy contact with residents.<\/li>\n<li><strong>Hard Copy File<\/strong>: A hard copy of all registration forms will be kept in a physical file. This file will be the responsibility of the Community Liaison.<\/li>\n<\/ol>\n<ol start=\"6\">\n<li><strong> Use of Personal Information<\/strong><\/li>\n<\/ol>\n<p>Personal information will be used solely for the following purposes:<\/p>\n<ul>\n<li>Contacting residents regarding crime-related matters<\/li>\n<li>Distributing crime alerts and safety tips<\/li>\n<li>Coordinating community crime prevention activities<\/li>\n<li>Emergency contact purposes<\/li>\n<\/ul>\n<ol start=\"7\">\n<li><strong> Access to Information<\/strong><\/li>\n<\/ol>\n<p>Access to personal information is strictly limited to:<\/p>\n<ul>\n<li>MCSCF committee members and Neighbourhood watch patrollers who have a legitimate need to access the information to perform their duties.<\/li>\n<\/ul>\n<ol start=\"8\">\n<li><strong> Information Security<\/strong><\/li>\n<\/ol>\n<p>MCSCF has implemented the following security measures to protect personal information:<\/p>\n<ul>\n<li>Secure access to Dropbox with strong passwords<\/li>\n<li>Regular updates of security software on committee members&#8217; phones<\/li>\n<li>Restricted access to personal information to authorized individuals only<\/li>\n<li>Immediate removal of access rights when a committee member no longer serves on the committee<\/li>\n<\/ul>\n<ol start=\"9\">\n<li><strong> Data Retention<\/strong><\/li>\n<\/ol>\n<p>Personal information will be retained only for as long as necessary to fulfill the purposes outlined in this manual.
